Reports to: High School Principal & Athletic Director

 

Position Description:

The person in this position must have a happy, outgoing and cooperative disposition since the office assistant constantly works closely with and interacts with students, parents, and school staff at all levels.  Quality, accuracy of work and organization are characteristics necessary for the person filling this position.  The office assistant is primarily responsible for entering and maintaining student attendance data, records and related materials; primary contact with parents regarding student attendance; provides secretarial and other support services to students, staff, parents, administrators, and the public; assisting the athletic director, and other clerical duties which require a high level of accuracy and proficiency.

 

Qualifications:

  1. High School graduate or GED certificate.
  2. AA degree or vocational certificate preferred.
  3. Past experience as school secretary preferred.
  4. Possess computer use knowledge including the Microsoft suite of software and Google Docs.
  5. Knowledge of Skyward preferred.  (Skyward is our electronic student and financial management system)
  6. Must be highly accurate, pay close attention to detail and take pride in their work when completing job assignments and responsibilities.
  7. Ability to maintain absolute confidentiality related to student records and school information that is protected by FERPA.
  8. Strong organizational skills.
  9. Ability to assume responsibility and work independently.
  10. Ability to communicate in a professional manner, both orally and in writing.
  11. Possess appropriate skills in spelling, word usage and punctuation.

 

General Responsibilities:

This position will be responsible for attendance office and clerical duties and responsibilities and other school related duties as assigned.

 

Specific Responsibility:

  1. Serves as receptionist for the attendance office. Greets students, administrators, staff, parents, and visitors entering the attendance office; answers the phone and responds to inquiries; takes messages from parents to deliver to students; programs the automated telephone system for calling parents about unexcused absences.
  2. Receipts student payments.
  3. Reconciles all monies submitted from class/club/sport fundraisers as well as gate receipts. Submits all monies to the online financial system.
  4. Manages student attendance: Checks in/out late arrivals and early dismissals. Enters student attendance tracking in Skyward, makes attendance calls, and mails attendance letters to families.
  5. Responsible for all Skyward attendance and discipline end of year reporting.
  6. Field trip management & athletic management to include booking venues, tracking permission slips, managing eligibility, scheduling transportation, and receiving payments.
  7. Sets up and implements the district's Community Engagement Board; create all CEB documents, coordinates weekly with the Kittitas County Juvenile Services to discuss truancy and sets up meetings with the CEB, ensuring the district is in compliance with laws and regulations of the Becca Bill & OSPI.
  8. Manages student discipline tracking and reporting: entering all incidents and processing CEDARS reports.
  9. Assists in building mail sorting and health room needs
  10. Maintains athletic team rosters and schedules.
  11. Point of contact for athletic EMT services.
  12. Ensures all WIAA submissions are submitted on time.
  13. Processes and tracks student athletic paperwork, maintains Final Forms database and communicates with high school coaches.
  14. Maintain student athlete files and provide weekly grade reports to coaches.
  15. Provides coaches with emergency forms for all team members.
  16. Submits all athletic transportation requests in the online system.
  17. Creates all athletic award certificates for end of season banquets.
  18. Manages on-line athletic rosters, schedules, and maps; orders athletic letters, certificates, pins, and other materials for athletic awards banquets. Answers the telephone and responds to inquiries concerning athletic events.
  19. Assists the athletic director as needed.
  20. Other duties as assigned.

Evaluation:

Performance will be evaluated annually by the principal.
